CountCore LLC provides outsourced bookkeeping and financial reporting. This policy covers countcore.com and the CountCore application. Questions about anything here can go to the address in contact.

We do not ask for your passwords. Access is granted by you from inside software you already own, and can be withdrawn there without going through us.

• QuickBooks Online. You connect it, and separately invite us as your accountant. We read your chart of accounts, transactions, bank and credit card registers, invoices, bills, customers, vendors and reports. Accountant access also lets us post corrections; nothing is posted without a person approving it.
• Ramp. If you use it, card and bill transactions, vendors and receipts.
• Clio. If you use it, matter and client ledger balances, so trust accounts can be reconciled three ways.
• Gusto. If you use it, payroll runs and the resulting journal entries.

We take what is needed to keep books and produce reporting. We do not access personal accounts, and we do not use your financial records to train models.

Your firm name, the name and business email of the people who use the workspace, and a password you choose, stored only as a hash. Payment is taken by Stripe; we never see or store a card number.

The application records what it did and who did it — syncs, corrections, reviews and sign-offs — because an audit trail is part of what you are buying.

We use a small number of processors, each for one job:

• Intuit — the source of the accounting data itself
• Stripe — payments and subscriptions
• Vercel — application hosting, and page-view analytics for the public site
• Neon — the database, hosted in the United States

The analytics count page views on the public marketing pages so we can see which of them are worth keeping. They set no cookies, follow nobody between sites, and are not run on any page inside the application — which is why this site has no cookie banner asking you to accept something.

We do not sell your data, we do not share it for advertising, and we do not give it to anyone else except where the law requires it. If we are ever compelled to hand over your records, we will tell you unless we are legally prevented from doing so.

For as long as you are a client, and for seven years afterwards, because accounting records have retention obligations that outlast the engagement. If you would rather we did not, say so and we will delete what we are not legally required to retain.

Revoking our access does not require our cooperation and does not require a notice period:

• In QuickBooks: Settings, Manage users, Accountants, and remove us.
• In Ramp, Clio or Gusto: remove the CountCore user in that system’s people or permissions settings.
• In CountCore: disconnect the source from Settings, Connections.

Your books stay yours and stay where they are. They live in your accounting system, not in ours — we read from it. Ask us to delete your CountCore workspace and we will, subject to the retention above.

If this policy changes in a way that affects what we access or who sees it, we will tell the people on your workspace before it takes effect rather than quietly reposting the page.
